Acquisitions Services Specialist

Class specifications are intended to present a descriptive list of the range of duties performed by employees in the class.  Specifications are not intended to reflect all duties performed within the job and/or department.

DEFINITION

To implement library materials acquisitions procedures;  process new duplicate, replacement, and professional materials; handle discard of library materials; maintain appropriate statistical information; aid in on-going department projects.

SUPERVISION RECEIVED AND EXERCISED

Exercise technical and functional supervision over Library Generalists, Library Pages, and volunteers.

Receive general supervision from Librarian (Technical Services).

EXAMPLES OF IMPORTANT AND ESSENTIAL DUTIES
Important and essential duties may include, but are not limited to, the following:

  1. Verify order information using Books in Print (BIP), Wyoming Libraries Database (WYLD), and Online Computer Library Center (OCLC) databases to determine if item is already in the collection, needs to be ordered, or if order duplication exists; place electronic orders for new materials for Campbell County Public Library System (CCPLS) through the appropriate Wyoming State Library Centralized Acquisition accounts and maintain order slips; contact vendors to place telephone orders when necessary; search for appropriate bibliographic records in multiple databases (WYLD, Library of Congress Machine Readable Cataloging (LC MARC), and OCLC) and attach orders to  bibliographic records in WYLD database.
  2. Receive new material arrivals and disburse them to appropriate areas; route invoices to Business Office or the Wyoming State Library (WSL); handle incorrect shipments appropriately; regularly communicate with Librarians and  Library Managers regarding fund balances, order status, etc. and with vendors if problems arise regarding orders placed or received ;  track reserves for new items being ordered or materials waiting to be processed ; handle cancellations from WSL printouts and determine when materials need to be reordered.
  3. Process new duplicate, replacement, and professional materials using WYLD database and maintain monthly statistics for such activity; work with the Standing Order database by checking in new titles, cleaning up data entries, and dealing with Business Office and Managers as needed.
  4. Handle discards generated by regular circulation reports by deleting materials from the shelf list, as well as from both the WYLD and OCLC databases; communicate with Circulation Staff as necessary to complete this  process;  organize CCPLS discards and perform discard process of discard stamping items, updating shelf list cards, keeping statistics on such activity, and boxing items by categories; remove library holdings from  both  WYLD and OCLC databases.
  5. Assist with recurring department projects such as inventory, reclassifications, database cleanup, etc.
  6. Operate modern office machines and equipment including PCs, scanners, typewriters, printers, copiers, calculators, fax machines, and postage meters.
  7. Recommend and assist in the implementation of goals and objectives for assigned department;  interpret library-wide policies, procedures, and resources.
  8. Respond to staff inquiries in a courteous manner; provide  information within the area of assignment; resolve complaints in an efficient and timely manner.
  9. Work Sunday hours as assigned.
  10. Adhere to safe work practices and procedures.
  11. Attend and participate in staff meetings and related activities; attend workshops, conferences, and classes to increase professional knowledge; serve on committees as assigned.

OTHER JOB RELATED DUTIES

Maintain knowledge of automated circulation and Public Access Catalog (PAC) system modules as well as a general knowledge of other department operating procedures in order to provide public desk coverage.

Perform related duties and responsibilities as required.

JOB RELATED AND ESSENTIAL QUALIFICATIONS

    Knowledge of:

    • OCLC and WYLD databases.
    • Current principles, standards, procedures, and practices of library acquisitions.
    • Bibliographic utilities, on-line catalog databases, and automated technologies used for library acquisitions.
    • Book and non-book materials, reference resources, acquisition and classification plans.
    • Basic principles and procedures of formatting MARC bibliographic records in accordance with Anglo-American Cataloging Rules (AACR).
    • Automation techniques applicable to library operations.
    • Wide variety of computer software programs.
    • Practices and procedures for weeding and discarding library materials.
    • The Dewey Decimal Classification (DDC) System, LC Subject Headings, Alpha-Numeric System for Classification of Recordings (ANSCR), and MARC record fields.
    • Modern office procedures, methods, and equipment.
    • Principles and practices of working safely. 

    Skill to:

    • Type and file accurately.
    • Operate modern office equipment.

    Ability to:

    • Interpret and apply pertinent rules to process new duplicates, replacements and professional materials according to professional library standards.
    • Search a variety of bibliographic databases to locate best records to import into WYLD database.
    • Perform acquisition procedures in accordance with statewide database quality practices.
    • Plan and organize work to meet schedules and time lines.
    • Convey department information to library staff, patrons, and management personnel.
    • Adhere to procedures for weeding and discarding library materials.
    • Maintain accurate statistics.
    • Communicate clearly and concisely, both orally and in writing.
    • Follow oral and written instructions.
    • Work effectively as part of a group.
    • Work Sunday hours as assigned.
    • Exercise good judgment, flexibility, creativity, and sensitivity in response to changing situations and needs.
    • Establish, maintain, and foster positive and harmonious working relationships with those contacted in the course of work.

EXPERIENCE AND TRAINING GUIDELINES:
Any combination equivalent to experience and training that would provide the required knowledge, skills, and abilities would be qualifying. A typical way to obtain the knowledge, skills, and abilities would be:

    Experience:

    • Three to four years experience in a public, academic, or special library environment.

    Education/Training:

    • Equivalent to a high school education including some specialized training and/or college courses in library acquisitions, processes and procedures.

LICENSE, CERTIFICATE OR REGISTRATIONS:
Must be current or obtained within a specified time frame as defined upon employment.

WORKING CONDITIONS:
Essential duties require the following:

    Working Environment:

    • Minimal exposure to undesirable working conditions or exposure; prolonged exposure to computer screens;  work rotating Sunday hours as assigned.

    Physical Activities:

    • Essential functions require maintaining physical condition necessary for moderate physical activity such as sitting, standing, walking, kneeling, crouching/stooping/squatting, climbing, twisting upper body and lifting  an average of 30 lbs to include shipments of boxes; pushing and pulling loaded book carts; lifting and carrying library materials; extensive use of a computer keyboard.
