Recreation Desk Supervisor

performed by employees in the class. Specifications are not intended to reflect all duties performed within the job and/or department.
DEFINITION
To supervise, manage, and coordinate the flow of work, information, and staff of assigned facilities which contribute to efficient operations and require a thorough
understanding of all department programs, policies and procedures; ensure the public is greeted and provided with appropriate information; maintain sales and attendance records.
SUPERVISION RECEIVED AND EXERCISED
Exercise direct supervision over support staff.
Receive direction from Recreation Superintendent.
EXAMPLES OF IMPORTANT AND ESSENTIAL DUTIES
Important and essential duties may include, but are not limited to, the following:
- Manage the flow of information in assigned area by ensuring the public is greeted and provided with appropriate information; assist the public by answering questions
on the daily schedule of activities, programs, and facility availability.
- Select, train, schedule, motivate, and evaluate assigned staff; provide or coordinate staff training; work with employees to correct deficiencies; implement
discipline and termination procedure. Assign tasks, projects, and monitor assigned personnel.
- Respond to public inquiries in a courteous manner; resolve complaints in an efficient and timely manner.
- Record all transactions, rentals, and facility use on computerized check-in system.
- Prepare daily, monthly or special reports which include purchase orders, cash sales summaries and class registrations and attendance; collect and verify daily
revenues.
- Develop, administer, monitor and coordinate assigned budget line items.
- Available to work "on call" schedule as assigned; open facility at assigned time Monday through Friday.
- Perform secretarial and clerical duties as assigned which may include general correspondence, reports, newsletters, and memoranda.
- Operate and train others in the use of modern office machines and equipment including PCs, typewriters, printers, copiers, calculators, and fax machines; routinely
use a full range of word processing and spread sheet software applications.
- Initiate and maintain a variety of corporate accounts; ensure that accounts have been billed; monitor and manage assigned correspondence, account modifications, and
related information.
- Manage and maintain specialized office software applications, ensure all program information/data is properly loaded, recorded and distributed to assigned budget
line items; ensure monthly and yearly usage and data reports are completed.
- Provide information and forms to staff and public, apply and interpret policies and procedures to ensure adequate services are provided.
- Perform routine and non-routine bookkeeping duties which may include accounts payable, receivable, and billing; collect, receipt, count and balance money, maintain
and prepare transaction records.
- Apply specialized department and program knowledge to develop, verify, and review forms, records, and reports for completeness and conformance with established
policies and procedures.
- Recommend and assist in the implementation of goals, objectives, policies and procedures for assigned staff and facilities.
- Adhere to safe work practices and procedures.
- Attend and participate in staff meetings and related activities; attend workshops, conferences, and classes to increase professional knowledge; serve on committees
as assigned.

Knowledge of:
- Principles and practices of supervision.
- Principles and procedures of record keeping.
- Principles and practices used in dealing with the public.
- Financial record keeping and budget processes and procedures.
- Advanced word processing methods, techniques, and programs including spreadsheet and database applications.
- Recreation Center programs and special events including league schedules and tournament brackets.
- Office management principles.
- Techniques used in interacting with the public.
- Advanced secretarial and administrative support techniques.
- English usage, spelling, vocabulary, grammar, proofreading, and punctuation.
- Modern office procedures, methods, and equipment.
- Principles and practices of working safely.

EXPERIENCE AND TRAINING GUIDELINES:
Any combination equivalent to
experience and training that would provide the required knowledge, skills, and abilities would be qualifying. A typical way to obtain the knowledge, skills, and abilities would be:
Experience:
- Three to four years experience including one to two years supervisory or office management experience.
Education/Training:
- Equivalent to a high school education including some specialized training and/or college courses.
LICENSE, CERTIFICATE OR REGISTRATIONS:
Must be current or obtained within a specified time frame as defined upon employment.
WORKING CONDITIONS:
Essential duties require the following:
Working Environment:
- Minimal exposure to undesirable working conditions or exposure.
Physical Activities:
- Essential functions require maintaining physical condition necessary for minimal physical activity such as sitting, standing, walking, running, kneeling,
crouching/stooping/squatting, crawling, twisting upper body, and lifting an average of 10 lbs.
