Event Coordinator

Class specifications are intended to present a descriptive list of the range of duties performed by employees in the class.  Specifications are not intended to reflect all duties performed within the job and/or department.

DEFINITION

To plan, coordinate and implement CAM-PLEX sponsored events and assist with local, regional and national events as assigned; organize, market, advertise, and arrange special setup requirements for a variety of current and  planned future events.

SUPERVISION RECEIVED AND EXERCISED

Exercise technical and functional supervision.

Receive direction from CAM-PLEX Executive Director.

EXAMPLES OF IMPORTANT AND ESSENTIAL DUTIES
Important and essential duties may include, but are not limited to, the following:

  1. Schedule, develop, organize, implement, and advertise CAM-PLEX events and assist with local, regional and national events including National and Regional RV Rallies, National High School Finals Rodeo, Pyrotechnic Guild International and any future events as assigned.
  2. Coordinate CAM-PLEX Garage Sales to include updating contract and database, print and radio advertising for vendors and for the event, bulk mailings, receipt payments, assign booth spaces, arrange for entertainment, hire concessionaire and work at the CAM-PLEX registration booth to assist vendors.
  3. Coordinate the Winter Western Town and Country Trade Show and the Total Technology Trade Show to include establishing contacts, marketing and advertising, preparing contracts, scheduling and supervising staff and volunteers.
  4. Develop and maintain a network of local, regional and national contacts.
  5. Attend out-of-town trade shows and conventions to promote CAM-PLEX and CAM-PLEX sponsored events, and learn how to adapt the event to CAM-PLEX.
  6. Research new events that may be adaptable to CAM-PLEX facilities.
  7. Assist in the development and administration of the special events budget.
  8. Set time-line for specific details of events and meet deadlines.
  9. Develop and implement fundraising programs for special events.
  10. Operate modern office machines and equipment including word processing, typewriters, printers, copiers, postage meters, calculators, microfiche and FAX machines; routinely use  a full range of work processing, graphics and spreadsheet computer software applications.
  11. Adhere to safe work practices and procedures.
  12. Attend and participate in training meetings, staff meetings, and related activities; attend workshops, conferences, and classes to increase professional knowledge; serve on committees as assigned; stay abreast of new events or ideas within the industry.

     Knowledge of:

    • Principles and practices of marketing, advertising and public relations.
    • Principles and techniques used in interacting with the public.
    • CAM-PLEX facilities and staff to accommodate events.
    • Modern principles of multi-events facility event development.
    • Principles and practices of event coordination.
    • Principles and practices of fund raising.
    • Principles and practices of public speaking.
    • Principles and practices of budget preparation and administration.
    • Principles and procedures of record keeping and reporting.
    • Principles and practices of written communication.
    • Modern office procedures, methods, and equipment.
    • Bulk mailing procedures.
    • Principles and practices of working safely.
    • CPR/First Aid/AED

    Skill to:

    • Operate a motor vehicle safely.
    • Operate modern office equipment.

    Ability to:

    • Work extended hours as necessary during events.
    • Travel out of town.
    • Communicate clearly and concisely, both orally and in writing.
    • Deal courteously and effectively with the public.
    • Effectively interact with a diverse customer base.
    • Prepare and administer budget.
    • Plan and organize work to meet schedules and time lines.
    • Effectively organize multiple details simultaneously for events and remain multi-task oriented.
    • Research, analyze, and evaluate new methods, procedures, and techniques.
    • Exercise good judgment, flexibility, creativity, and sensitivity in response to changing situations and needs.
    • Schedule and coordinate projects; set priorities and adapt to changing priorities.
    • Respond to requests and inquiries from the general public regarding events.
    • Establish, maintain and foster positive and harmonious working relationships with those contacted in the course of work.

EXPERIENCE AND TRAINING GUIDELINES:
Any combination equivalent to experience and training that would provide the required knowledge, skills, and abilities would be qualifying. A typical way to obtain the knowledge, skills, and abilities would be:

    Experience:

    • Three to four years of experience organizing and marketing events in a multi-event facility.

    Education/Training:

    • Equivalent to a Bachelor's degree in Event Management, Business Administration, Public Relations or a related field.

LICENSES, CERTIFICATES OR REGISTRATIONS:
Must be current or obtained within a specified time frame as defined upon employment.

    • Valid driver's license.
    • CPR/First Aid/AED

WORKING CONDITIONS:
Essential duties require the following:

    Working Environment:

    • Minimal exposure to undesirable working conditions or exposure; ability to travel to out of town; work extended hours as necessary during events.

    Physical Activities:

    • Essential functions require maintaining physical condition necessary for minimal physical activity such as sitting, standing, and walking and lifting an average of 20 lbs.
